Summary

Position Overview:

We are looking for a meticulous and well-organized Real Estate Transaction Coordinator to become a part of our team. The perfect candidate will handle and supervise the administrative components of real estate transactions from the contract stage through to closing. This role is crucial in ensuring that all deadlines are adhered to, documentation is precise, and the entire process is smooth for both clients and agents. Strong communication skills are vital, as the position serves as the main liaison among all parties involved in the transaction, delivering prompt updates and maintaining a professional and friendly attitude.

Responsibilities

  • Key Responsibilities:
  1. Transaction Management:
    • Coordinate real estate transactions from executed contract to closing, ensuring timelines are met.
    • Prepare and review all transaction documents for accuracy and compliance with regulations.
    • Monitor and manage transaction progress in client management systems.
  2. Communication:
    • Serve as a liaison between clients, agents, lenders, and attorneys.
    • Keep all parties updated on transaction progress and address any concerns promptly.
  3. Document Coordination:
    • Organize, upload, and maintain all transaction files in compliance with brokerage and regulatory standards.
    • Ensure completion of all required documents, including disclosures, contracts, and addenda.
  4. Deadline Tracking:
    • Manage and track key dates such as contingency removal deadlines, inspection dates, and closing dates.
    • Send reminders to agents and clients to ensure timely execution of tasks.
  5. Problem-Solving:
    • Identify and resolve any issues that arise during the transaction process.
    • Proactively anticipate potential challenges to ensure a smooth closing.
  6. Administrative Support:
    • Provide agents with a wide array of administrative assistance.
    • Submit documentation to the brokerage for compliance review.
    • Coordinate photography, staging and other listing launch functions

Qualifications

You are a detail oriented professional with a strong sense of urgency but not at the expense of quality. You are a good listener, extremely organized, solutions based and results driven. You are passionate about being both efficient and effective in process management and customer service. 

  • Previous experience as a Transaction Coordinator, administrative assistant, or similar role in real estate (preferred).
  • Service oriented leadership
  • Ability to work independently and thrive in a fast-paced environment.
  • Excellent at building rapport
  • Strong written and verbal communication skills
  • Phenomenal organizational skills
  • Learning based
  • High school graduate 
  • Real estate license preferred
