JOB DESCRIPTION - DATA ENTRY ADMINISTRATOR

We are a well-known creative arts company in Hollywood, California and are looking for a super organized go-getter with an incredible work ethic and an upbeat attitude to join our small team. The perfect Data Entry candidate should be enthusiastic, personable, organized, and self-driven individual looking to work in a part-time capacity and MUST have Data Entry experience. The Data Entry Administrator is responsible for booking sessions, data entry, assisting with office tasks, greeting clients and guests, and other office tasks.

Our perfect candidate will will have CRM data entry experience and assume an important role in providing support for every aspect of the customer journey of our clients. Candidates should be able to assist management and clients by handling a variety of tasks, providing polite and professional service, and generally being a helpful and positive presence in our workplace. The position requires a strong work ethic, ability to multitask, prioritize weekly and monthly deadlines, excellent written and verbal communication, strong organization, kindness, grace under pressure, and tech-savviness. As a small business, our employees wear many hats. We work as a team and expect strong collaboration and support from each other in the office.

Primary duties of this position include:

  • assist prospective clients with inquiries regarding classes, schedules, financial costs, and other administrative matters, using a CRM,
  • resolve scheduling conflicts and provide solutions to accommodate client’s needs in collaboration with administrative staff and faculty,
  • organize and process sessions using spreadsheets, CRM records, and email for registration information,
  • process receipts for purchases,
  • preparing documents for client sessions, meetings, and special requests,
  • own complete registration process,
  • uploading all relevant client materials to internal website,
  • greeting and directing visitors and clients for in-person meetings,
  • keeping client lists and session calendars current,
  • generating email confirmation of sessions to clients and staff,
  • implementing processes and procedures to utilize the CRM more effectively,
  • answering phone calls and troubleshooting client issues and concerns,
  • special projects and troubleshooting of client's concerns as applicable.

Candidates must:

  • be proficient on PC, MAC, Word, Excel, Microsoft Outlook, Microsoft Teams, Microsoft CRM, Zoom and Google Docs,
  • be extremely detail oriented,
  • be great at problem-solving and have superior organizational skills,
  • be self-motivated and forward-thinking about upcoming client and staff needs,
  • be excellent at managing tasks and assignments,
  • be outstanding at time management and meeting deadlines,
  • be attentive to grammar and syntax and have excellent verbal communication skills,
  • be able to work in a fast-paced, team-oriented environment,
  • be able to work both supervised and autonomously,
  • have a strong ability and desire to learn and to accept new challenges
  • love people.

Knowledge of the film, television, and theater industry is a plus but not required.

 

Location: I n-person in Hollywood, California.

Hours: a minimum of approximately 28-32 hours per week through a combination of the following schedules:

Tuesdays - Thursdays 4:00 pm – 9:00 pm

Fridays 11:30 am – 6:00 pm (sometimes virtually)

Saturdays 9:00 am – 5:30 pm

Sunday and Monday - Off (as needed when event takes place)

Job Type: Part-time

Compensation: This is an hourly non-exempt position. The pay range is $23-24 per hour, depending on skills and experience. Paid Time Off (PTO), and possible health insurance benefits.
